This privacy notice explains how Author-LL handles account data, uploaded materials, workflow activity, and related beta-platform information during author onboarding and companion-building.
1. Who we are
Author-LL is the author-facing side of Living Literature. It is used for author onboarding, companion-building, workflow review, and related beta platform operations.

2. What this page covers
This notice applies to:
- authors and invited testers using the author platform
- people contacting us about onboarding, collaboration, or support
- uploaded manuscript, book, and workflow materials used in the beta process
3. What information we collect
Depending on how you use the site, we may process:
- account details such as name, email address, login credentials, and role
- onboarding information submitted through forms or workflow steps
- uploaded files such as manuscripts, summaries, chapter notes, glossary material, and companion inputs
- workflow activity such as page visits, submissions, step progression, and beta usage events
- correspondence sent by email or through the site
- technical data such as IP address, browser type, timestamps, and basic security logs
4. How we use that information
We use this information to:
- create and manage author accounts
- review and process onboarding submissions
- generate and refine companion-ready knowledge materials
- support beta testing and author workflow operations
- communicate about setup, support, and rollout
- maintain platform security, performance, and abuse prevention
- improve the author workflow and related systems
5. Lawful bases
We process personal information using one or more lawful bases under applicable data protection law, depending on the context. These may include contract, legitimate interests, and legal obligation.
Where consent is used for a specific activity, we will make that clear.
6. Who we share data with
We may share information with service providers that help us operate the platform, such as hosting, infrastructure, database, authentication, analytics, logging, payment, and AI/model providers.
We do not describe uploaded author materials as public by default. Materials are processed only to the extent needed to operate the workflow and related platform functions.
7. AI processing and uploaded manuscript materials
During the beta workflow, uploaded author materials may be processed through internal tooling and third-party AI/model infrastructure to support onboarding, knowledge extraction, companion configuration, review, and related platform functions.
This does not mean your materials are automatically published, licensed for public use, or made part of a public corpus.
8. Retention and deletion
We keep information only for as long as reasonably necessary for the beta workflow, platform administration, legal compliance, dispute handling, and security.
Account and workflow records may be retained while the beta relationship remains active. Uploaded materials may be retained while needed for onboarding, review, or testing, and then deleted or archived according to operational need.
9. Security
We use reasonable technical and organisational measures to protect information used in the author workflow. These may include access controls, authenticated admin areas, server-side handling, and platform security controls.
No online service can guarantee absolute security.
10. Your rights
You may have rights including:
- the right to be informed
- the right of access
- the right to rectification
- the right to erasure
- the right to restrict processing
- the right to object
- the right to data portability, where applicable
